01The problem

In a busy practice, the costly problems are rarely the visible ones. A client who has not come back. A task with no owner. A deadline nobody wrote down. A budget running hot. The Intelligent Case Tracker keeps one honest ledger of the work — and tells the right person, at the right time, what needs them.

02Inside the tracker

    One private ledger

    Every matter carries its phases and tasks — each with a responsible person, start and due dates, a cost and one of five statuses — arranged by the engine CIM v1.0 uses to organise its findings. Money is tracked per task and against the quoted cost, and going over budget is flagged.

    Onboarding in five steps

    The client, the matter, the team, the plan — then a review of the whole thing before anything exists. A case number is allocated in the organisation's own sequence, and an opening task ledger is laid down from a template.

    Documents into tasks

    Upload signed terms of engagement and the reader proposes the work they commit you to: obligations, deadlines behind phrases like “within 14 days”, the fee, and who each item falls on. People tick what is real — every task records the clause it came from. Nothing leaves the machine.

    An alert engine that speaks up

    A ledger nobody reads is a filing cabinet. Built on the notification engine of CIM v1.0, alerts are recomputed from the live ledger on every request — so they can never go stale, and disappear the moment the work is done. Dismissing is a snooze, not a delete.

    The right view for every person

    Administrators maintain the ledger. Staff work their own tasks. Clients read their own file — and can change nothing. Every permission is enforced on the server, on every request, on desktop and on the phone.

03The alert engine

The Case Tracker runs on the arrangement and notification engine of CIM v1.0. Every alert is derived from the live ledger on each request — never stored — so it cannot go stale, cannot be forged, and leaves no queue to forget. Each person sees only what belongs to them.

Dismissing an alert silences it for 24 hours. If the work is still outstanding, it comes back — there is deliberately no way to hide an overdue obligation permanently.

A “matter” is only a name for a piece of work with phases, owners, deadlines and a budget. Vocabulary settings change what the interface calls things — so every kind of practice runs the same engine in its own words.

05Security, as built

Everything in the tracker exists to stop the wrong person reading a file. Sign-up files a request — it never creates an account on its own.

  • Hashed passwords

    scrypt with per-user salt and constant-time comparison.

  • Two-factor sign-in

    Authenticator-app codes, with single-use recovery codes.

  • Session protection

    HttpOnly, SameSite cookies, CSRF tokens and idle timeouts.

  • Login throttling

    Repeated failures lock the account and address for a period.

  • Strict content policy

    No third-party scripts, styles, fonts or images can load.

  • Append-only audit trail

    Every sign-in, edit, cost entry and permission change — who, when, from where.

06How it is delivered

The lab builds the tracker for the organisation that commissions it, shapes it to their process, words and tolerances, deploys it inside their own infrastructure, and hands it over — with periodic maintenance and updates afterwards. The data sits on their own machines.
